EMS 2008 Annual Meeting

You are encouraged to make plans early to attend the meeting in Puerto Rico. In contrast to clusters of hotels available at meetings held in large cities, the Wyndham Rio Mar Resort is a 500-acre property and there are no other hotels in close proximity.

The special EMS conference rate for single/double rooms is $173 (USD), inclusive of the resort fee. You must reserve your room prior to September 17. All rates are subject to applicable taxes, currently 11%, a $2.50 per night housekeeping fee, and a $7 one time porterage fee per person. Reservations can be made by calling toll free (877) 999-3223 or direct (787) 888-6000 and telling the reservation office that you are an EMS meeting participant, or by reserving a room on-line. It is the policy of the Wyndham Rio Mar to charge a 2 night deposit on the credit card provided 60 days prior to arrival.

There are a limited number of rooms at the Government room rate of $155 (USD), inclusive of the resort fee. To reserve a room at this rate, you must contact the hotel directly. The hotel has agreed to accept these reservations in advance without the required 2 day deposit. Although the payment method will be noted at the time of the reservation, the deposit will not be charged until October 2, 2008, which is within the same fiscal year as the meeting. Government attendees must contact the hotel directly at (787) 888-6000 and ask for in-house reservations in order to obtain the Government rate and these special billing provisions.

Wheelchair accessible rooms are available. Persons with special needs should inform the hotel when making reservations. Check-in time is 4:00 PM and check-out time is 11:00 AM. There are fees associated with checking out late. Please discuss any late check out arrangements you might need when making your reservation or when you check into the hotel. The Wyndham Rio Mar Resort has a seven day advance cancellation policy.

EMS Housing Room Share Program

Individuals interested in sharing a room with another attendee may sign-up for the roommate matching service through the Web site www.ems-us.org. Requests to share a room should be submitted by August 15. Individuals using this service will be provided with a list of names with similar housing requirements. Individuals will be responsible for contacting the potential roommate and making the hotel reservation. EMS will not be responsible for securing housing for participants in the roommate matching service. All housing arrangements are the responsibility of the individual(s).

The conference will be held at the Wyndham Rio Mar Resort, 6000 Rio Mar Boulevard, Rio Grande, Puerto Rico. Located 20 miles from the Luiz Munoz Marin International Airport, the Wyndham Rio Mar Resort is a 500-acre tropical resort on magnificent Rio Mar Beach, located on the Northeast corner of Puerto Rico. Internet Access at the Annual Meeting

EMS appreciates how important it is for attendees to stay connected to daily responsibilities in their home locations while attending the meeting. Access to the Internet will be available during registration hours. In addition, the Wyndham Rio Mar Resort offers High-Speed Wireless Internet Access in their guest rooms and public spaces for $9.99 per 24-hour logon time. Please note that the Wireless Internet access is not available on the meeting room levels.
